Who is responsible
- Rutina and the tools are developed and operated by Sean Kjetil Nordbø (seannordbo.com), who is the data controller for the website. Contact: kjetil@nordbo.me.
- When an organisation gives its employees access to the tools, the organisation is the controller for the data about its employees, and we process it on the organisation's behalf.
What data we process
- On the website: technical data in server logs, such as IP address, browser and time.
- In the tools: email, name, progress, answers to exercises and checklists, feedback you send and questions you ask the AI helper.
- We do not ask for sensitive personal data. Do not write such data in free text or to the AI helper.
Why and on what basis
- To provide the tools you use (contract, or your organisation's basis when you use them through work).
- For operations, security and troubleshooting (legitimate interest).
- To reply when you contact us (legitimate interest).
Cookies and analytics
- The website uses no cookies for tracking or marketing and has no analytics tools.
- The tools store your login in the browser so you stay logged in. This is necessary for the service to work.
- Fonts are loaded from our own server, not from third parties.
Where data is stored
- Hostinger: hosting of the website and apps.
- Supabase: databases. Cleaning instructor is located in London, INSTA 800 in Frankfurt. Each tool has its own database.
- Resend: sending email from the tools.
- Anthropic: the AI helper in Cleaning instructor. Questions are not used to train the models.
- Resend and Anthropic are US companies. Transfers take place under the EU standard contractual clauses (SCCs), which are part of their data processing agreements.
The contact form
- When you use the contact form, your name, email, organisation (if given) and message are sent to us by email through Resend. The message is not stored on the website.
- To stop spam, an anonymised value of your IP address and the time are kept for one day.
How long
- Your account and progress are kept as long as you have access. When your organisation removes access, or you ask us to, the data is deleted.
- Server logs are kept only as long as needed for operations and security.
Security
- All traffic is encrypted. All tools require login, and the server checks what each user can access. Read more under Security on the front page.
Your rights
- You can request access, correction, deletion, restriction and data portability, and you can object to processing based on legitimate interest.
- If you use the tools through work, you can also contact your employer.
- You can complain to the Norwegian Data Protection Authority (datatilsynet.no).
Changes
- We update this policy when the service changes. The date at the top shows the latest change.
